About the role, what will I be doing?

Events Coordinator - Planning will organize all aspects of the groups and events processes once receiving the contract and to include pre event logistics, on site event management and post event follow up and billing. You will maximize customer satisfaction in order to ensure return of business. You will maximize the use of Food and Beverage outlets, maximizing potential conference and banqueting space and accommodation through upselling techniques. You will also:

  • Issue a function file as soon as the event is confirmed and the handover is delivered, and to ensure that all information/correspondence with and from the client regarding the event is filed.
  • Chase definite group bookings for rooming list, deposits and create special F&B packages in order to generate increased revenue.
  • Prepare all relevant paperwork for the weekly BEO meeting, daily & weekly BEO amendments distribution, to ensure that all information is communicated to the other departments.
  • Ensure that all accommodation & event requirements relating to conference business are correctly administrated.
  • Effectively liaise with Credit Controller regarding all credit applications. Perform all billing activities in order to ledger off all accounts within 72hrs after the group or event departure.
  • Attend all departmental meetings, briefings & internal or external training sessions as required.
  • Manage any last minute meeting enquiries, all social and F&B outlet enquiries, as well as converting it and coordinating. To deal with all internal bookings, as and when requested to the standard set down.
  • Arrange show rounds of the Hotel and all the facilities for new and existing clientele. To ensure that the office is at all times staffed and all telephone enquiries answered immediately.
  • Ensure that the office filing system is kept in a neat and professional working order at all times.
  • Handle minor guest and customer complaints with precision, speed and with a professional manner, and to the Hotel’s procedure. To communicate any complaints other than minor to the relevant supervisor.
