Reception Administrator

 Mission: To assist the Reception Manager in managing the daily operation of Reception, controlling the arrivals list, with specific emphasis on account instructions and keeping an up-to-date correspondence system ensuring all arrivals are closely monitored and constantly updated at all times.

 

 Responsibilities will include, but are not limited to:

·      Ensure all staff is trained on ledgers and the daily supervision on ledgers, along with the correct follow up of the ledgers and any other administrative procedure.

·      Support and promote positive communication links between Reception, Sales, Reservations and Accounts, enabling them to provide the highest level of service at all times.

·      Ensure that credit is managed effectively, by maintaining diverse accounts under control.

·      Check the next day’s arrivals list, ensuring all details are correct, including payment details, correspondence backing up and guaranteeing the bookings, credit arrangements and profiles up to date. This includes groups and aircrews.

·      Daily supervise ledgers after Reception closes the credit accounts, ensuring all ledgers are correct and/or passing them to a nominated employee for correction within the shift. To control all ledgers of the day ensuring they are clear without exception, noting any discrepancies and communicating them to the Reception Manager.

·      To act as a liaison between Reception, Sales, Reservations and Accounts, thereby communicating accurately information and seeing that it is acted upon accordingly.

·      To ensure all hotel credit procedures are strictly adhered to and all records are accurate.

 

What we are looking for?

·       OPERA knowledge

·       Fluency in English and additional Spanish would be beneficial

·      Prior experience in a similar role

The successful candidate must already have eligibility to work in the UK.
