MISSION: Responsible for the quotation and contracting of the leads (excl. social events) that are generated for hotels in the Sales Area, regardless of the channel in which they are received (online, offline, centralised or direct).

What will you be doing?

  • Support the head of Group Sales/GS Manager in the production of the MICE segment sales strategy for hotels in the area, in order to meet the objectives defined in each hotel’s  Business Plan.
  • Co-Responsible for meeting the MICE segment budget both in terms of rooms (volume of Room nights and Room Revenue) and in meeting room Rental and group-related F&B sales through the management of the Group Quotation team for Hotels in the sales area.
  • Achieve and/or exceed the budget approved annually in the Business Plan (MICE segment) of hotels in the Cluster/Sales Area, both for the sale of rooms and in ARR through the increase in the number of accounts/events, as well as in the sale of banqueting rooms, banquets, audios and other MICE-related revenues.
  • Prepare quotes for leads for +10 rooms with or without meeting rooms, for hotels in the area with the aim of obtaining as much business as possible in terms of rooms, banqueting rooms, F&B and other group-related revenues.
  • Review and ensure that the negotiations, contracts with customers and credit policies of the groups/leads they are managing are carried out in accordance with the policies and procedures established by MHI.
  • Update, manage and control the group business and its database, ensuring that the information available is as up-to-date as possible in the FOCUS system, reporting any incident to the specific department.
  • Make proper use of the groups tool (FOCUS).
  • Able to negotiate with customers for the assigned leads in order to obtain the most benefit based on the Business Plan and strategy defined for all hotels in the MICE segment area.
  • Once the group or event has been confirmed, the corresponding service contract will be drawn up and will block in the hotel's PMS the required banqueting rooms and rooms that have been confirmed by the customer.
  • Monitors and complies with the MICE pricing and segmentation strategy previously defined between Sales and Revenue in the area. They actively participate in those periodic meetings in which they are required to update the prices and conditions of sale of the groups.
  • Maintain fluid and correct communication with each hotel’s Group Operations team (Conference/Banqueting) and updating them on issues related to their duties/responsibilities (site inspections, specific set ups, etc.) in order to successfully operate the contracted groups.
  • Ensures an excellent handover of files to the hotel once a group has been contracted.
  • Ensure and manage, in a timely manner, requests from the Cvent channel or other Online MICE segment channels (leads/venue finders platforms).
  • Promote the site inspections of the files that they manage personally to increase the group's materialisation options. Coordinate with hotel Operations and follow up with the Hotel on the outcome of the same.
  • Attend those site inspections that, due to the value or profile of the customer, require their presence. Alert the Head of Group sales /GS Manager of visits in which they should also participate and consider the exceptional presence of Area DOS, Director CO and/or the Managing Director.

 

What are we looking for?

  • Fluent in Italian and knowledge of English.
  • University Degree in Tourism, Business.
  • Knowledge of group operation and event coordination.
  • Organised, hands-on person with ability and predisposition to work as part or a team.
  • Opera Cloud and Sihot PMS management.
  • Professional use of Office and Outlook.
  • Experience of at least 2 years in a similar position.
  • Excellent organizational skills and ability to find solutions.
  • Great communication skills, desire to develop and progress in your role.
  • Flexibility and enthusiasm are key for this position.
