Mission: 

The Director of Event Planning & Services is responsible for leading the planning, coordination and successful execution of all meetings, conferences, weddings, social events and catering functions following contract confirmation.

Serving as the primary liaison between clients and hotel operations, the Director of Event Planning & Services ensures every event is meticulously planned, communicated and delivered to the highest luxury hospitality standards. Working closely with the Sales team, Banquet Manager, Director of Food & Beverage, Executive Chef and operational departments, this role transforms confirmed business into seamless and memorable guest experiences while maximizing operational efficiency, guest satisfaction and event profitability.

The Director of Event Planning & Services oversees the complete event planning process from sales handover through post-event follow-up, ensuring flawless execution while building lasting client relationships and supporting the hotel's overall catering and events strategy.

What will you have to do?

Event Planning & Client Management:

  • Assume full ownership of all confirmed catering and events following contract signature from the Sales team.
  • Conduct detailed planning meetings with clients to finalize all event requirements.
  • Serve as the primary point of contact for clients throughout the planning process.
  • Build strong relationships with clients while ensuring every event reflects their expectations and the hotel's luxury standards.
  • Advise clients on menus, room layouts, event flow, entertainment, décor, audiovisual requirements and special requests.
  • Identify opportunities to enhance the guest experience through appropriate upselling and value-added services.
  • Manage all amendments, revisions and special requests while ensuring contractual compliance.
  • Coordinate site inspections for confirmed events whenever required.

Event Coordination & Communication:

  • Prepare comprehensive Banquet Event Orders (BEOs), Group Resumes, Function Sheets and all event documentation.
  • Ensure event documentation is complete, accurate and distributed to all operational departments within established timelines.
  • Chair weekly BEO and Event Operations Meetings to review upcoming events with all relevant departments.
  • Communicate all event updates and last-minute changes promptly.
  • Coordinate room allocations, event timelines and operational logistics to ensure seamless execution.
  • Ensure all departments are fully briefed and prepared for every event.

Operational Leadership:

  • Serve as the operational bridge between Sales and hotel operations.
  • Work closely with the Banquet Manager to ensure flawless execution of all events.
  • Coordinate with the Executive Chef and Food & Beverage team regarding menus, service styles and special dietary requirements.
  • Liaise with Front Office, Housekeeping, Engineering, Security, Stewarding and other operational departments to ensure successful delivery of every event.
  • Attend major events and act as the hotel's principal representative throughout the function.
  • Resolve operational issues promptly while maintaining exceptional guest satisfaction.
  • Ensure all event spaces are utilized efficiently and in accordance with operational standards.

Financial & Business Management:

  • Review all event details against signed contracts to ensure accuracy and operational readiness.
  • Prepare weekly and monthly forecasts for confirmed catering and events business, including revenue, covers, function space utilization and event activity.
  • Monitor confirmed business pace against budget and forecast, identifying opportunities and potential risks.
  • Analyse event trends to support labour planning, banquet operations and inventory requirements.
  • Collaborate closely with the Sales team to maintain accurate forecasting and ensure a seamless handover of confirmed business.
  • Review event profitability and recommend operational improvements to maximize efficiency and financial performance.
  • Coordinate deposits, payment schedules and billing instructions with the Finance department.
  • Verify banquet charges and ensure accurate event billing and account reconciliation.

Guest Experience:

  • Deliver exceptional event experiences that consistently exceed guest expectations.
  • Personally welcome VIP clients, event organizers and wedding couples whenever appropriate.
  • Conduct post-event follow-up with clients to gather feedback and strengthen long-term relationships.
  • Resolve guest concerns professionally and proactively.
  • Analyse guest feedback and implement continuous improvements to event planning and delivery.

Quality, Brand Standards & Compliance:

  • Ensure all events comply with Meliá Hotels International brand standards and operating procedures.
  • Maintain accurate event planning records and documentation.
  • Ensure compliance with health, safety, food hygiene and licensing regulations.
  • Continuously review planning processes and recommend improvements to enhance operational efficiency and guest satisfaction.
  • Support sustainability initiatives and responsible event practices wherever possible.
